Etsy Digital Downloads: How to Deliver Files the Right Way
Most articles about Etsy digital downloads cover what to sell. Almost none cover the part that actually earns your reviews: what happens after the buyer pays. File delivery sounds like a technicality, but it is where five-star reviews are won and where refund requests, angry messages and “this does not work” reviews come from. This guide covers the mechanics properly: how Etsy delivers files, the size and format limits, how to handle products that do not fit those limits, and the mistakes that quietly cost sellers sales.
If you are still setting up your first listing, our complete beginner guide to Etsy digital downloads covers the whole journey. This article zooms in on the delivery step specifically.
How Etsy digital delivery actually works
When you create a listing and set the type to digital, Etsy asks you to upload the product files directly to the listing. From then on, delivery is automatic. The moment a buyer pays, Etsy emails them a download link and adds the files to the purchases section of their account. You do nothing per order. The buyer can re-download the files whenever they like from their Etsy account, for as long as the transaction exists.
Two details new sellers miss. First, buyers who check out as guests get their download link by email only, so if they lose the email they will message you, and a calm copy-paste reply pointing them to the link is worth saving. Second, if you update the files on a listing later, buyers see the newest version when they re-download, which is a quiet superpower covered below.
The limits: files, sizes and what fits
Etsy allows up to five digital files per listing, and each file can be up to 20MB. That envelope shapes every delivery decision you make:
- A typical printable PDF, a planner, or a document template fits easily.
- A pack of high-resolution PNG art files can blow past 20MB quickly.
- Video content, large font bundles and big seamless pattern collections will not fit at all.
- Canva templates are not files in the first place, so they cannot be uploaded directly.
When your product does not fit inside five files of 20MB, you use the link PDF method: a single small PDF containing a download or access link. More on that in a moment.
Choosing the right file formats
Format choice is customer service. The buyer should be able to open and use your product without googling anything.
- PDF is the default for anything printable or readable: planners, invitations for home printing, guides, worksheets. Everyone can open a PDF on every device.
- PNG suits graphics, clip art and anything needing transparency. Deliver at full resolution, 300 DPI for anything the buyer will print.
- JPG is fine for photographic art prints, where transparency does not matter and file sizes need controlling.
- SVG is essential for craft cutting files, usually delivered alongside a PNG version for buyers whose software prefers it.
- ZIP bundles many files into one upload, which helps with the five-file limit. Use it deliberately, not by default, because it is also the format that generates the most confused buyer messages, especially from phones.
For printables, always consider offering both A4 and US Letter sizes. UK sellers default to A4 and then wonder why American buyers complain that the printing is cut off. Two sizes in one listing widens your market at the cost of one extra file.
Delivering big products and Canva templates: the link PDF
The standard solution for anything outside Etsy’s limits is a small, tidy PDF whose job is to carry a link:
- For large file bundles, upload the product to a cloud drive, set sharing to anyone with the link can view, and put a clearly labelled download button in the PDF.
- For Canva templates, use the template share link that Canva generates, which copies your design into the buyer’s own Canva account when clicked. Our step-by-step guide to selling Canva templates on Etsy walks through creating that link properly.
Make the link PDF look like part of the product: branded cover page, a short instructions page, and big obvious buttons. A bare white page with a blue hyperlink reads as amateur and invites doubt. And test every link in a private browser window before you upload, because a cloud link that was never switched to public sharing is one of the most common causes of day-one refunds.

Structure the download like a product, not a folder
Open your own product as if you had just bought it. What the buyer should see:
- Sensible file names. “Wedding-Budget-Planner-A4.pdf”, not “final_v3 (2).pdf”. File names are part of the product.
- A start here page. One page telling the buyer what each file is and what to do first removes most support messages before they happen.
- The licence in writing. One line stating what the purchase allows, for example personal use or small business use, and that resharing or reselling the files is not permitted.
The common delivery mistakes that cost reviews
- Only offering A4. Half the market prints on US Letter. Offer both.
- Low resolution files. Anything printable needs 300 DPI. Screen-resolution art looks fine in preview and terrible framed on a wall.
- Unlabelled ZIPs. If you must zip, name the ZIP clearly and explain in the listing that phones sometimes need an extra app to open it. Many one-star reviews on digital listings are really “I could not open a ZIP on my iPhone”.
- Editable confusion. If your PDF is not editable, say so in the listing. Buyers regularly assume any planner can be typed into. State plainly: print and write, or editable in Canva, whichever is true.
- Dead links. Re-test your cloud and template links monthly. Links rot when accounts change, folders move or sharing settings reset.
- No delivery explanation in the listing. One line in every description (“Instant download, files arrive the moment you pay, nothing is posted”) prevents the recurring one-star review from someone waiting for a parcel.
Updating files after launch
Because buyers always download the current version of your files, you can fix typos, improve designs and even add bonus files after launch, and every past buyer benefits when they re-download. Sellers use this well by messaging past buyers about a meaningful update, which is one of the few legitimate reasons to message a buyer and often prompts a review. It also means a listing with early quality complaints can be genuinely repaired rather than deleted.
Remember that fees still apply to every digital sale, so factor delivery decisions like offering more listings versus bundling into your margins. Our breakdown of Etsy fees for digital products in the UK has the current numbers.
Frequently asked questions
What happens if a buyer cannot open their files?
Stay calm and assume good faith, because it is nearly always a device issue. Ask what device they are on, point guests back to their email link, and for ZIP problems suggest opening on a computer. A saved set of polite replies turns these moments into five-star reviews, because buyers rate the rescue as much as the product.
Can I send files manually instead of using instant download?
Etsy technically allows made-to-order digital items, but for standard products you should never choose manual delivery. Instant download is the entire appeal of digital for buyers, and manual sending turns a passive product into a daily chore with slower reviews.
How do I stop people sharing or reselling my files?
You cannot fully prevent it, and chasing it will eat your energy. Practical protection: state your licence terms in the product and listing, put your shop name discreetly on printables, and keep releasing new work so your catalogue is always ahead of any copies. Focus on the honest majority who just want the product.
